Full Time

Bookkeeper/Office Manager

Must be extremely proficient in QuickBooks, MS Office (Excel, Word & Outlook).
Must be organized, efficient, able to multitask, and meet deadlines.

Hours: Mon – Fri, between 8:00 – 5:00 (flexible)
Wages: Start at $23/hr and can go to $27 within 90 days, based on demonstrated abilities. Once eligible, benefits include: Health, Dental, Vision, Life, Pension, Paid Holidays, generous PTO, flexible hours and occasional working from home.

Job Qualifications: MUST HAVE:

– Very strong accounting/bookkeeping background;
– Very Strong computer skills including Microsoft Excel, Word, and QuickBooks.
– Knowledge of and use of internet and social media.
– Ability to meet deadlines, be dependable, flexible, maintain confidentiality, be bondable, and remain professional at all times

Primary Responsibility:

Under general supervision of the Executive Director, this position performs a variety of duties as listed below:

 ACCOUNTS RECEIVABLE:
⦁ Maintain/update tenant charges timely & accurately
⦁ Post payments and make deposits to bank
⦁ Send notices and make collection calls
⦁ Accurately process move-ins & move-outs
⦁ Prepare excel spreadsheets from financial data monthly

ACCOUNTS PAYABLE
⦁ Enter bills using proper allocations to multiple projects, and print checks
⦁ Review and clear intercompany accounts monthly
⦁ Maintain files and filing system for multiple properties
⦁ Collect necessary data from new vendors
⦁ Prepare excel spreadsheets from financial data monthly

FINANCIAL
⦁ Prepare bank reconciliations for multiple properties and projects
⦁ Prepare & send Reserve Requests monthly
⦁ Review Financials and budgets monthly
⦁ Submit or make adjusting journal entries to correct financial reports
⦁ Prepare and submit multiple quarterly and annual reports to HUD, WHEDA, Rural Development, etc.

OTHER
⦁ Assist with data gathering and internet research
⦁ Assist with payroll processing
⦁ Answer phones as needed
⦁ Invent & implement tenant events
⦁ Maintain office equipment (postage machine, copiers, printers, etc.)
⦁ Maintain social media sites and update with new events
⦁ Maintain Admin contract/lease renewals
⦁ Review applications for eligibility
⦁ Update instruction, policy & procedure manuals

    Full Time

    Grounds-keeping/Housekeeper at multiple locations throughout the city

    Hours are 25-30 hours per week, Monday through Friday between 8:00 & 4:30 pm. There is flexibility in start & end times &/or days worked. Starting pay is $15/Hr. Raises based on abilities demonstrated.

    Work includes moving heavy objects such as stoves & refrigerators, working on hands & knees, climbing and working on ladders, operating a motorized vehicle, using power tools, etc.

    This individual must be able to:

    • Pass a criminal background check,
    • Bend, stoop, walk, lift and carry without difficulty,
    • Work in hot, humid or cold environments,
    • Work independently, efficiently and meet deadlines.
    • Interact well with tenants, staff and vendors.
    • Drive to & from the various locations, occasionally in their own vehicle (mileage is reimbursed).

    Grounds-Keeping duties include but are not limited to:

    • Walking properties daily picking up litter/debris,
    • Watering/trimming vegetation, removing weeds, emptying waste receptacles, sweeping, & raking as needed,
    • Inspecting/maintaining building exteriors, entries & any exterior furnishings for cleanliness & any damage (damage to be reported to maintenance).
    • Training, a detailed check list, and supplies will be provided.

    Unit Cleaning duties include but are not limited to:

    • Disposing of all items left in the unit,
    • Deep cleaning every room and a follow-up light cleaning before move in.
    • Training, a detailed check list, and supplies will be provided.

    Other Duties include but are not limited to:

    • Biannual Deep Cleaning, all buildings,
    • Snow removal during winter months,
    • Be back up for the “Resident Van” driver.

    Part Time
