Full Time

Office Assistant

Hours: Mon – Fri, between 8:30 – 5:00

Primary Responsibility:

Under direct supervision of the Executive Director this position serves as receptionist and provides support for the administration and management of all programs operated by the Housing Authority. 

Major Areas of Responsibility:

    1. Open the office.
      1. Make sure lobby is neat & clean.
      2. Make sure all informational fliers & forms are adequately stocked.
      3. Check drop box.
      4. Check office equipment and stock with ink, toner, paper, etc. as needed for the day.
      5. Water plants as needed.
    2. Receive tenants, visitors and telephone calls.
      1. Explain programs and requirements to callers and visitors.
      2. Attempt to assist callers before transferring to staff. Staff are available by appointment only, and this applies to phone calls.
      3. Advise staff when their appointment or visitor is in the lobby.
    3. Handle incoming and outgoing correspondence.
      1. Open, date stamp, and deliver incoming mail and faxes.
      2. Continually monitor email and reply to information requests.
      3. Process verification forms and distribute incoming information to the appropriate staff person.
    4. Process applications and ensure waiting lists are accurate.
      1. Receive applications, date stamp, review for completion and complete eligibility/background checks.
      2. Add and remove applicants to & from the appropriate waiting lists and send notification of status.
      3. Maintain applicant filing system, including denied and removed.
    5. Prepare lease documents, recertification packets, inspection forms, and ensure that tenant files are complete.
      1. Prepare leases and move in packets.
      2. Review signed paperwork for accuracy and completeness and file in appropriate file cabinet.
      3. Prepare recertification packets and lease renewals.
      4. Mail lease renewal notices and monitor timely return of signed documents.
    6. Other duties:
      1. Maintain parking space assignments.
      2. Maintain entry security system.
      3. Maintain adequate office supplies.
      4. Maintain all filing.
      5. Enter work orders
      6. Sort and stamp all rent checks.
      7. Prepare and distribute rent certificates annually.
      8. Special projects as assigned.

Knowledge:

Use and basic maintenance of office equipment (refill paper, toner, ink, etc.). Use Microsoft Office Suite. Strong professional written and verbal communication skills. Compose, proofread and edit documents. Basic administrative duties, processes, and customer service. Apply common sense to carry out instructions, written or verbal. Ability to learn several software programs.

Language Skills:

Ability to read, interpret, edit, and revise documents such as rules, policies, and procedure manuals. Ability to communicate professionally and effectively.

Mathematical Skills:

Ability to add, subtract, multiply, and divide.

Physical Demands:

Much of the work is done while seated. However, the position does require frequent standing and walking. It also requires the ability to speak clearly, hear well, see well, and use hands constantly. Specific duties in which the employee will need these abilities are listed above. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment:

The work environment is characteristic of what an employee would encounter while performing administrative work in an office. Most work is conducted indoors. The employee may be required to walk or drive to another location, but would not involve working outside during inclement weather.

    Full Time

    Full Time Grounds/Maintenance Assistant

    Hours: Mon – Fri, 8:30 a.m. to 5:30 p.m.
    Wages start at $20/hr with potential for raises at 30/60/90 day review, based on skills & abilities demonstrated.

    Skills include:

    Basic home repair & yard maintenance; light mechanical, electrical and carpentry.

    This individual must:

    – Be able to lift up to 100 Lbs, climb ladders, use power tools and lawn equipment.
    – Have reliable transportation and valid driver’s license.
    – Pass background check.
    – Work efficiently, independently and interact well with tenants, staff and vendors.

    Duties include:

    • Grounds keeping: litter/debris control; maintain curb appeal; planting, pruning, tending, weeding, greenery, etc.
    • Routine apartment maintenance: ranges from unclogging drains to replacing lightbulbs or a faulty outlet.
    • Routine building upkeep: keeping common area walls, flooring and furniture in good repair, including stain removal, wall patching/ painting; power washing exteriors
    • Other related duties as assigned.

    Full Time

    Grounds-keeping/Housekeeper at multiple locations throughout the city

    Hours are 25-30 hours per week, Monday through Friday between 8:00 & 4:30 pm. There is flexibility in start & end times &/or days worked. Starting pay is $15/Hr. Raises based on abilities demonstrated.

    Work includes moving heavy objects such as stoves & refrigerators, working on hands & knees, climbing and working on ladders, operating a motorized vehicle, using power tools, etc.

    This individual must be able to:

    • Pass a criminal background check,
    • Bend, stoop, walk, lift and carry without difficulty,
    • Work in hot, humid or cold environments,
    • Work independently, efficiently and meet deadlines.
    • Interact well with tenants, staff and vendors.
    • Drive to & from the various locations, occasionally in their own vehicle (mileage is reimbursed).

    Grounds-Keeping duties include but are not limited to:

    • Walking properties daily picking up litter/debris,
    • Watering/trimming vegetation, removing weeds, emptying waste receptacles, sweeping, & raking as needed,
    • Inspecting/maintaining building exteriors, entries & any exterior furnishings for cleanliness & any damage (damage to be reported to maintenance).
    • Training, a detailed check list, and supplies will be provided.

    Unit Cleaning duties include but are not limited to:

    • Disposing of all items left in the unit,
    • Deep cleaning every room and a follow-up light cleaning before move in.
    • Training, a detailed check list, and supplies will be provided.

    Other Duties include but are not limited to:

    • Biannual Deep Cleaning, all buildings,
    • Snow removal during winter months,
    • Be back up for the “Resident Van” driver.

    Part Time
